Keepit is looking for a Design Operations Specialist to join our team in Copenhagen, Denmark.
We are growing fast and doing our best to bring our SaaS cloud-based backup services to a global audience.
Our platform helps customers protect critical data in systems like Microsoft 365, Google Workspace, Salesforce, Azure AD, Dynamics 365, and Zendesk. Whether they’re facing ransomware or a simple human mistake, we’ve got their back.
We’re proud of our product and our people. To support our international and expanding design team, we’re now looking for someone who loves optimizing how teams work. If you’re organized, people-focused, and passionate about design from behind the scenes — this might be the role for you.
You will join our skilled design team, with members in Lviv, Copenhagen, and Krakow. This means that virtual collaboration makes up a comprehensive part of your daily work.
You’ll also be closely connected with Product Management, Engineering, and other internal teams, helping to coordinate and smooth out workflows so design can thrive across the company.
Central tasks as a Design Operations Specialist will include:
- Supporting the daily operations of the design team across locations.
- Creating, improving, and maintaining design documentation, playbooks, and templates.
- Helping structure and optimize design processes and team rituals.
- Organizing team communication, design reviews, planning sessions, and retrospectives.
- Coordinating onboarding and internal training.
- Helping maintain and scale our design system in collaboration with designers and developers.
- Supporting collaboration across design, product, and engineering teams.
- Contributing to creating a healthy, collaborative, and productive team culture.
Required skills:
- 2–5 years of experience in a UX, product, or design-related role — enough to understand the daily reality of working on a design team.
- Practical understanding of how design teams work (tools, workflows, stakeholders).
- Excellent organizational and coordination skills.
- Strong communication and documentation abilities.
- Ability to collaborate with cross-functional teams and facilitate smooth workflows.
- Experience with tools such as Figma and Jira.
- Comfort working across time zones and cultures.
- Advanced level of spoken and written English.
- A degree in a relevant field such as design, communication, or similar.
Bonus skills:
- Experience in project coordination, supporting design systems or onboarding
- Understanding the developer perspective
- Ability to help shape processes and tools that are practical and adoptable for both design and development teams.
A fair and transparent recruitment process:
During the recruitment process, you can expect the following stages:
CV/portfolio review, recruitment interview, technical interview.
You will be assessed according to the criteria below:
- Technical skills: Practical understanding of how design teams work, coordination skills.
- Team collaboration: You will also be working with the Product Management and the Engineering teams, where collaboration is of the essence to creating good user experiences.
- Language: English is a preferred language, and we expect you to be fluent in both written and spoken.
- Proactive approach: You have a human-centred approach to solving problems rather than a "shoot first, ask later" approach. Once you know the problem, you are fast to create protypes and wireframes. In order to move fast, you have to go slow. Take the initiative and seek opportunities to improve.
We offer:
- Competitive salary.
- Pension scheme.
- A modern, energetic global work environment.
- Flexible work-life balance supported by a hybrid working model.
- Regular team-building activities.
- Opportunities for professional development and career advancement.
- Compensation is based on experience and skill set.
